Valentine & Wine Planning
-
Tickets & Promotion
- Ticket sales currently at 18 people. Plan to sell tickets at the door (if any available) but will continue to push purchasing tickets early as this will help for food planning purposes.
- need to start posting on Facebook pictures of silent auction items and organizations that have donated food and drinks. Great to help promote the sponsors, as well as get people excited for what they can bid on.
-
Food & Drink
- Decided we should overplan for food, etc. - will do extras of veggies, fruits, etc. Also, Rob A (Lynn’s husband) could run out to Costco in Abbotsford if more people come day of to purchase tickets and we need more food.
- Costco provided a $50 gift card. This was picked up by Sarah and Brett.
- Sarah will shop for food and decorations.
- Samantha has cups, plates and silverware.
-
Silent Auction
- have not received anything from local businesses on the strip as of meeting (update: Napa dropped off something on Tuesday)
- Gina B. has 2-3 more items and a case of red wine. (Update: these items were dropped off at the library on Wednesday 2/5)
- snowblower donated (Nancy to confirm)
- William at WOW has expressed to Cayla he would donate something - Samantha to follow-up with him
- need to contact local breweries for donations
- Lynn says have enough items for about 6 baskets right now. She will put them together on Friday, 2/14 at the Senior Center.
-
Entertainment
-
Newlywed game still being worked on, Brett has a lot of ideas in his head.
- Small white boards for contestants to use would be good - Samantha will look into getting some.
-
Selfie Center - have a place were people can take pictures. Currently have a balloon arch and backdrop that can be used. Samantha has a tripod that can be used. Need to provide selfie props for people to use. Samantha has some?
-
Karaoke - if it can be made to happen, great! Need to figure out if there is an online access to karaoke somehow. Have the speakers and microphone from the movie equipment. Brett will look into existing options for karaoke.
-
Schedule of events. When will Newlywed game happen, closing of silent auction lots. Plan to have 3 lots for the silent auction, with them closing at 7pm, 8pm and 8:30pm.
-
-
Set-Up
- Volunteers who are planning to help with set-up the day of the event can arrive any time after 2pm. We are unsure how long it will take to set-up the balloon arch, food, etc. and prefer more time than less.
- Set-up for the silent auction will begin at 5pm once the library closes.
-
E. New Business
-
Ideas for next event
- Murder mystery at the library based on a book
- board game night
- Charlotte Bronte birthday (April 21) high tea
- something for St. Patrick’s Day
-
Look for possible grant funding - cycle may be coming up in the next couple months so keep your eyes open
-
Try to have events tie in with library more, either by location (have at library) or by services (Kanopy for Movie in the Park, something to show the backpacks). Need to show people the value of the library, especially this coming year.
- Nancy wondering if the numbers are up at the library since FOSL has been doing more events, and library has been doing more programs. Talk to Paul to see what the numbers look like.
-
consider how we may be able to partner with others
-
Next meeting plan to recap Valentine & Wine and come with a year-long event calendar. Nancy proposes to pick 4 big events per year.
